Open golf venue cashes in with Cambridge technology

Carnoustie Links golf

Carnoustie, which hosts the Open Championship golf spectacular in 2018, has turned to clubhouse-to-the-Cloud technology from the Cambridge cluster to improve its finance functions.

For the first time, the championship will be supported in the Cloud thanks to St Ives-based Cloud B2B Solutions.

Carnoustie Management Committee (CGLMC), which is responsible for hosting some of the world’s premier golf events, has replaced paper based systems and streamlined its accounts function using a cloud-based Purchase Order system from the company. Full order visibility across the organisation by status and custom reporting are among the benefits.

For CGLMC, running a major golfing venue like Carnoustie requires a range of financial controls. With three courses and four departments spread across its site, previous manual systems were no longer practical for the organisation.

The finance department scoured the UK for the best system. After demonstrations involving as many staff as possible, the specification and design of the new ‘Purchase orders online’ system was created.

A range of issues were covered from budgetary controls to purchasing and invoice workflow approvals for both orders and supplier invoices – even how to deal with complex fuel purchases.

System users now have the ability to upload supporting documents to support the PO’s such as delivery notes and quotations.

The purchase orders online product also allows approved supplier invoice data to be exported as a CSV file for transfer to the company’s SAGE accounts system. Importantly, the finance department has full visibility across the whole system of the status of both Purchases and Invoices. Customised reports add another level of information and auditability.

Dianne McDonald, finance manager and system sponsor, said: “The Cloud B2B system will make the whole procurement process easier to monitor and control.

“We took our time in arriving at the final system specification, having consulted with key team members, to ensure that we brought everyone with us in terms of how the system works. Whilst the 2018 Open is a key event for us, the system will ensure that we are more efficient all the time!”

Cloud B2B Solutions’ marketing manager, Pam Roberts, added: “As golfers ourselves, we are especially proud of having delivered a significant new purchasing system for Carnoustie. The benefits of eliminating paperwork and manual processes will be felt for years to come.”

While the company is based locally it serves markets throughout the UK and internationally, including the Middle East, Australia and the US.
The distinctive feature is that the company makes the benefits of Cloud software products – not the more usual Cloud computing – available to even smaller businesses.
