Open golf venue cashes in with Cambridge technology
Carnoustie, which hosts the Open Championship golf spectacular in 2018, has turned to clubhouse-to-the-Cloud technology from the Cambridge cluster to improve its finance functions.
For the first time, the championship will be supported in the Cloud thanks to St Ives-based Cloud B2B Solutions.
Carnoustie Management Committee (CGLMC), which is responsible for hosting some of the world’s premier golf events, has replaced paper based systems and streamlined its accounts function using a cloud-based Purchase Order system from the company. Full order visibility across the organisation by status and custom reporting are among the benefits.
For CGLMC, running a major golfing venue like Carnoustie requires a range of financial controls. With three courses and four departments spread across its site, previous manual systems were no longer practical for the organisation.
The finance department scoured the UK for the best system. After demonstrations involving as many staff as possible, the specification and design of the new ‘Purchase orders online’ system was created.
A range of issues were covered from budgetary controls to purchasing and invoice workflow approvals for both orders and supplier invoices – even how to deal with complex fuel purchases.
System users now have the ability to upload supporting documents to support the PO’s such as delivery notes and quotations.
The purchase orders online product also allows approved supplier invoice data to be exported as a CSV file for transfer to the company’s SAGE accounts system. Importantly, the finance department has full visibility across the whole system of the status of both Purchases and Invoices. Customised reports add another level of information and auditability.
